1. Registration

Your registration is considered accepted if we do not notify you of a rejection within 14 days. You will also receive a written confirmation of registration.

2. Participation Fees

The participation fees listed in the brochures are exclusive of statutory VAT. With your registration confirmation, you will receive an invoice for the participation fee plus VAT. The invoice must be paid immediately upon receipt without any deduction by bank transfer to the account specified on the invoice.

3. Cancellation by the Participant

Cancellations must be submitted in writing. The effective date is the date of receipt of the cancellation notice. The following cancellation policies apply:

For MRI Courses:

  • Within the last week before the course starts: 80% of the fee
  • Up to 1 week before the course: 50% of the fee
  • Up to 4 weeks before the course: 25% of the fee
  • Up to 2 months before the course: no cancellation fee

If you provide a paying substitute participant who attends the course under the same conditions, no cancellation fee will apply.

For Observerships:

  • Within the last month before start: 80% of the fee
  • Up to 1 month before start: 50% of the fee
  • Up to 2 months before start: 20% of the fee
  • Up to 3 months before start: no cancellation fee

For the CMR-ORBIT Platform (Online Evaluation of Cardiac MRI Data):
Upon receiving login credentials, access to digital content begins.

  • Before credentials are issued, cancellation is free of charge.
  • After credentials have been issued, cancellation is no longer possible, regardless of whether login or usage has occurred.

Sharing login credentials with third parties is not permitted. A substitute participant can only be named if the login credentials have not yet been sent.

4. Course Cancellation by circle institute GmbH

We reserve the right to cancel courses, e.g., due to instructor unavailability or insufficient enrollment. In any case, we will inform you as early as possible about any cancellations or necessary changes to the program, especially instructor changes.

If we must cancel a course, we will immediately refund the participation fee paid. Any further claims are excluded, except in cases of intentional or grossly negligent behavior on our part.

5. Rights of Use for Course Materials and Platform Content

To support the course content and practical training, you will receive educational materials in printed or electronic form. These materials are protected by copyright.

This also applies to all content on the CMR-ORBIT platform (e.g., case studies, image data, reports, tutorials):

  • Materials may not be reproduced, shared, or made publicly available, even in part, without prior written permission from circle institute GmbH.
  • Distribution via screenshots, screen recordings, or any other means (e.g., social media, forums, third-party teaching materials) is strictly prohibited.
  • Content may only be used within the scope of the booked service and exclusively by the registered individual.
  • Any commercial or institutional use beyond the agreed purpose is not permitted.

In case of violation, circle institute GmbH reserves the right to take legal action and to immediately revoke access without refund.

6. Data Protection

Personal data submitted to us will only be used for organizing the event and stored in an electronic system. Data will not be used or passed on for any other purpose. The provisions of the General Data Protection Regulation (GDPR) apply.

7. General Provisions

Any side agreements, amendments, or additions to this agreement must be in writing to be effective. This also applies to any waiver of the written form requirement.

The place of performance is Berlin. If the participant is a merchant, the place of jurisdiction is also Berlin.
